Purpose

This policy is designed to maintain a professional, safe, and productive working environment for staff, volunteers, service users, and visitors at the community centre. It ensures that work time is focused on delivering services and supporting the community without unnecessary interruptions.

 

Policy Statement

Friends, family members, partners, and other personal visitors must not attend the workplace during working hours for social visits or extended conversations with staff or managers.

The community centre is a professional working environment, and all employees and managers are expected to maintain appropriate boundaries between personal and work life during working hours.

Volunteers

Personal visitors of staff members

 

Rules on Personal Visitors

1. No Social Visits During Work Hours

Friends, family members, partners, or acquaintances must not:

Attend the workplace for social reasons

Sit in offices or reception areas for prolonged periods

Interrupt staff while they are working

Hold informal meetings or conversations during working hours

 

2. Visits Must Be Work-Related or Essential

Personal visitors are only permitted where:

There is an emergency

Prior permission has been given by senior management

The visit is directly related to centre business or services

 

3. Managers’ Responsibilities

Managers and supervisors must:

Lead by example and follow this policy consistently

Avoid allowing personal visitors to remain in offices during work hours

Ensure staff are not distracted from their duties

Politely ask unauthorised visitors to leave if necessary

 

4. Professional Boundaries

Staff must maintain professional boundaries while at work. Excessive personal visits can:

Disrupt service delivery

Create safeguarding concerns

Reduce productivity

Cause discomfort for staff, volunteers, or service users

Damage the professional reputation of the organisation

 

5. Reception & Waiting Areas

Reception and communal areas are intended for service users, official visitors, and centre-related activities only. They must not be used as meeting places for personal social visits.

 

Exceptions

Reasonable exceptions may be made for:

Emergencies

Approved carers or support workers

Official meetings authorised by management

Special events organised by the community centre

 

Breaches of Policy

Failure to follow this policy may result in:
